All stands at SBC Summit Tbilisi are either ‘Space only’ or ‘Stand Package’ stands. Please refer to your IO for what package you have purchased.
A. ‘Space Only’ means you have rented a space on the floor in the exhibition hall. There is no walling or stand fittings provided and you are responsible for organising all of this at your own cost. The design of your stand is your responsibility and must be such that it can be erected and dismantled within the time available; please refer to the exhibition timetable for the build-up and breakdown schedule and in accordance with the stand build regulations. Any stand built higher than 2.5m must be black or white backed, so that this does not impose on neighbouring stands.
B. ‘Stand Package’ means you have rented a floor space and rented a single back wall stand from SBC. You will need to supply a graphic file for this by the design deadline and SBC will print this and build the stand.
All stands will require complete outside walling of their stands. It is the responsibility of the stand owner to complete and not the neighbouring companies responsibility.
When you arrive on-site the area of the stand will be marked out on the venue floor. It is your responsibility to ensure that the stand is built to the correct floor markings. If you are unsure of these please contact events@sbcgaming.com before commencing build.
Space Only Stand Regulations
Please read the following carefully. The regulations must be adhered to when designing and building a space only stand, please pass this information onto your contractor:
- All stand structures have a height restriction of 3 meters.
- No rigging is allowed at the venue
- All stands are to be constructed so as to pose no danger to public safety and order.
- No part of the stand construction, including rotating signs, or any exhibits may protrude into the gangways or over neighbouring stands.
- All gangways at the show must be kept clear at all times, including during build-up, the open period and breakdown.
- Doors may not open onto gangways.
- Exhibits, furniture and other items belonging to your stand must not encroach beyond the boundary of your stand space. This is to ensure that escape routes are unobstructed in case of emergency evacuation.
- All stand construction must be completely self-supporting and no fittings or painting may be made to any part of the venue structure
- Platforms must be of a strength and stability sufficient to carry and distribute the weight of stand fittings and exhibits with regard to the loading limits of the venue floor.
- All stands will require complete outside walling of their stands. It is the responsibility of the stand owner to complete and not the neighbouring companies responsibility.
- Any stand built higher than 2.5m must be black or white backed, so that this does not impose on neighbouring stands.
- All cladding of columns must be self-supporting and access must be made available to any services on these columns.
- All stand construction and displays must be made from fireproof materials and installed to the satisfaction of the authorities.
- SBC reserves the right to cancel any stand construction if plans do not align with venue and/or exhibition regulations. New plans will need to be submitted and approved for construction to resume.
Dilapidations
- Please do not attach anything to the fabric of the building and take care when constructing your stand, as any damage caused by paint, stickers, nails, screws, etc, will be charged to you.
Stand Plan Approval
You have a legal obligation to build your stand to the required standards of the venue and local authority. To ensure that you are building your stand to the correct regulations, professional scale drawings showing all proposed construction must be submitted and approved.
The design of your stand must be such that it can be erected and dismantled within the time available. A method statement for the construction process must accompany these plans along with a risk assessment and health and safety declaration. The Organiser reserves the right not to allow the build of your stand to begin if plans have not been submitted and approved prior to the show.
Please send a complete set of your technical drawings, method statement and risk assessment. Please find the forms in the Health & Safety Section. Check the To-Do List Section for deadlines and form status. Once the stand plans have approved a letter/email of approval will be provided. Detailed below are the requirements regarding the submission of plans:
- Present technical scale drawings including all dimensions, weight loads, heights, materials to be used etc.
- Detail all building materials to be used and prove the structural stability
- Show a ground plan and an elevation drawing
- Approval for a stand from a previous show will not be accepted as proof of approval and plans must be re-submitted for every show
- Positions of audio-visual equipment, features, walling, seating must be presented.
- Approval must not be assumed until written approval is received from the SBC Events Team
- When written approval has been received for the original design, no alteration may be made without the approval of the SBC Events Team
- All plans, calculations and documentations must be in English and should clearly state the exhibiting company's name, stand number and the contact name and company of the contractor responsible for the stand
- A stand plan approval form, method statement, risk assessment and health and safety declaration must be submitted with the plans. You may choose not to use the forms provided in this manual or use your own templates instead.
