Please note bedrooms must be booked ahead of the 21st April. There is high demand for rooms at this time so we advise booking early. 

The consumption of alcohol is not permitted during build up and breakdown. The venue has a strict drugs and alcohol policy which allows them to offer to test or eject from site any contractor suspected of being under the influence of drugs or alcohol.

Any sale or supply of alcohol at the show must be agreed and licensed by the venue.  Selling alcohol for consumption at the show is not permitted.  However, if you wish to provide samples for tasting or to sell unopened bottles for consumption off site, you must contact the organisers on events@sbcgaming.com. The maximum sample size permitted is 50 ml for beer/cider, 25 ml for wine and 5 ml for spirits.

Guide dogs are permitted entry to the show.  However, if you plan to have any other animal(s) on your stand, you must apply for permission via the organisers, as there are licensing implications and the City Vet’s approval will be required.

Orders should be submitted by no later than the 28 March 2026. 

If you are using helium-filled balloons on your stand, please make sure they are secured, as charges for recovery will be incurred if any float to the roof.  Helium cylinders are not permitted to be stored on the stand. Please notify the organisers, as checks will need to be made by the venue’s fire and safety officer.

 

"Glitter" or “Confetti” is not permitted at the facility.

All exhibitors have access to lead capture via our app, SBCConnect, this is an effective way to track footfall to your stand and rank potential. 

 

Further details on how to log into your SBCConnect account will be provided four weeks prior to the event.

  

All stands at SBC Summit Malta are ‘‘Space only” stands. The term "Space Only Booth" refers to renting a space on the exhibition floor. There will be no walls, floor coverings, or booth fittings provided, and you will be responsible for arranging them at your own expense. Booth design is your responsibility, and must be capable of being built and dismantled within the deadlines; please refer to the exhibition timetable for the build-up and breakdown schedule.


When you arrive on-site the area of the stand will be marked out on the venue floor. It is your responsibility to ensure that the stand is built to the correct floor markings. If you are unsure of these please contact the organiser’s office before commencing build.

Stand Regulations

The following regulations must be adhered to when designing and building a space only stand, please pass this information on to your contractor:

  • All electrical works must be carried out by Turnkey Expos, our official electrics contractor 

  • Please be aware of the height limits of the room, these vary depending on the location of your stand:

Stands highlighted below have a maximum build  height 2.5 metres:

All other areas have a maximum of 4 metres build height . No double decker stands will be permitted

  • All stands will require complete outside walling of their stands. It is the responsibility of the stand owner to complete and not the neighbouring companies responsibility. 

  • Dividing walls must be built between your stand and adjoining stands, extending to the boundaries of your stand.

  • All stand construction must be completely self-supporting and no fittings or painting may be made to any part of the venue structure.

    • All cladding of columns must be self-supporting and access must be made available to any services on these columns.

  • No part of the stand construction, including rotating signs, or any exhibits may protrude into the gangways or over neighbouring stands.

    • In order to help us ensure that we comply with the licensing authority and venue regulations, all gangways at the show must be kept clear at all times, including during build-up, the open period and breakdown. 

    • Exhibits, furniture and other items belonging to your stand must not encroach beyond the boundary of your stand space.  This is to ensure that escape routes are unobstructed in case of emergency evacuation.       

    • All stand construction and displays must be made from fireproof materials and installed to the satisfaction of the authorities.

    • All lockable doors to store rooms, kitchens, meeting rooms, etc must have a vision panel in case  of an emergency.

    • All rooms (kitchens, store rooms, meeting rooms) that are deemed enclosed and are 15sqm or larger installed on a stand must have an installed smoke detector with a sounder element. Doors may not open onto gangways.

  • Platforms must be of a strength and stability sufficient to carry and distribute the weight of stand fittings and exhibits with regard to the loading limits of the venue floor.

  • Professional scale drawings showing all proposed constructional details must be submitted and approved prior to the build-up of the show.

  • A method statement, risk assessment and health and safety declaration must be submitted with your stand drawings. If you require templates for these documents please contact Lucy Brackpool

  • The design of your stand must be such that it can be erected and dismantled within the time available.
  • If you intend to do construction work on-site please be considerate to others. Please do not off-load, work or paint in other peoples’ stand areas as this can be a source of irritation to fellow exhibitors arriving to set up their stand.
  •  Any presentations / demonstrations likely to interest large groups of visitors must be located towards the centre of the stand and clearly shown on stand drawings.
  • Hot works including grinding, acetylene works or any construction that generates heat with the potential to cause flame are subject to Hot Works Insurance Permit prior to the commencement of any hot works intentions. Please contact Lucy Brackpool if you intend to carry out any hot works.
  • You are responsible for the actions of any contractor you employ to work for you and will be held responsible for misconduct by them. Any damage caused by your contractors will be charged directly back to you.

Dilapidations

Please do not attach anything to the fabric of the building and take care when constructing your stand, as any damage caused by paint, stickers, nails, screws, etc, will be charged to you. Please becareful with any trollies / pump trucks on the show floor, that they do not damage the flooring. A charge will be made for any damage caused to the carpet in the InterContinental Malta conference centre.

Stand Plan Approval

You have a legal obligation to build your stand to the required standards of the venue and local authority. To ensure that you are building your stand to the correct regulations, professional scale drawings showing all proposed construction must be submitted and approved.


The design of your stand must be such that it can be erected and dismantled within the time available. A method statement for the construction process must accompany these plans along with a risk assessment and health and safety declaration. The Organiser reserves the right not to allow the build of your stand to begin if plans have not been submitted and approved prior to the show.


Please send upload  a complete set of your plans (which include all measurements), method statement and risk assessment to this portal for approval.

 

Detailed below are the requirements regarding the submission of plans: 

 

      • Include all dimensions

      • Detail all building materials to be used

      • Show a ground plan and an elevation drawing

      • Details must prove the structural stability

      • Approval for a stand from a previous show will not be accepted as proof of approval  and plans must be re-submitted for every show

      • Approval must not be assumed until written approval is received from the SBC Events team.

      • When written approval has been received for the original design, no alteration may be made without the approval of the SBC Events team. 

      • All plans, calculations and documentation must be in English and should clearly state the exhibiting company's name, stand number and the contact name and company of the contractor responsible for the stand

      • A stand plan approval form, method statement, risk assessment and health and safety declaration must be submitted with the plans. You may choose not to use the forms provided in this manual and use your own templates instead.

All exhibitors and contractors bringing vehicles to the venue for buildup and breakdown, who want to unload or load a vehicle on site, will be given a vehicle slot ahead of build-ip.

 

All vehicles used to deliver and collect goods to/from your stand must display a vehicle pass in the windscreen.  Please follow the advice of the traffic marshals, who are there to ensure that everyone can load and unload as quickly as possible.

 

Once you have loaded/unloaded your vehicle, it must be removed from the loading areas, in order to make room for others. 

 

The car parks are open 24hrs a day and can be accessed at any time. A security office is within the premises to assist you.

SBC Summit Malta hall aisles are permanently carpeted. If exhibitors wish to lay their own floor covering, they must first lay a platform or floor flats.


If you require floor covering please ensure you have discussed this with your stand contractor and they have taken the necessary steps to make sure no damage is caused to the carpet already in the venue.

 

Any damage to the venue carpet will be charged back to the exhibitor.

All food and beverage requirements will be looked after by the staff at Intercontinental.

Various lounges will be serving refreshments all day, however should you require any special orders, you may place the order by contacting Sandra on the details shown in the supplier details section.

Your stand will be vacuumed each day and rubbish will be removed, but exhibits will not be cleaned. Please leave bags of rubbish in the gangway after the show has closed each day for collection. If you wish to order cleaning for during the show, please see the Key Supplier contacts section. If you have a night sheet or locked areas on your stand you wish to have cleaned, please leave a key at the organiser’s office.

 

If food waste is produced, this must be disposed of separately. Please speak to your SBC contact to book food disposal.

 

Intercontinental Malta recycles or reuses all waste. Certain items are separated on site: large quantities of paper, glass, plastics, wood (without nails) and flat-packed cardboard. Intercontinental will provide recycling bins for the waste to be split accordingly.

There is a cloakroom located by registration, which will be free of charge for event attendees and exhibitors during the open times of the event.

Deliveries for SBC Summit Malta should be received no earlier than Friday 24th April 2026


Any deliveries to your stand on show open days must be completed and your vehicle removed from the loading areas no later than half an hour before the show opening time.  The venue will not allow the show to open if vehicles are blocking fire exit routes and trolleys are not permitted on the exhibition floor during open hours in consideration of public safety.


If you are expecting goods to be delivered by courier, please ensure that they are aware of the dates of the show and hall opening times.  Deliveries made before the show is in tenancy will not be accepted by the venue.

All parcels are to be kindly addressed to Cara Christie with the event name clearly marked on each parcel. 


Exhibitors must be available on the stand to accept and sign for deliveries. If you cannot be at your stand to receive your delivery please contact the official forwarder to arrange for them to accept your delivery. The official forwarder is ILS, contact details can be found in the supplier section of the manual. You can also contact ILS via their online portal.

Please ensure that you consider accessibility to your products and services for disabled people when designing your stand.  This may include (but not exclusively) providing wheelchair access ramps, induction hearing loops, low level desks, transaction aids and appropriate signage. 

The Disability Discrimination Act 1995 (DDA) gives disabled person’s rights to access to goods, facilities and services. You have a duty to ensure that all persons have access to your stand. All stands must be accessible to visitors using wheelchairs.

Any stand incorporating a platform or raised floor that exceeds 120mm in height, must incorporate an access ramp with the inclusion of handrails fitted either side, Platforms/ Raised floors up to 120mm are not required to install a ramp provided there is someone available on the stand space to assist a wheelchair dependant visitor. For any mobility scooter dependent visitors, we have at our disposal temporary ramps which can be sited temporarily in the aisle area to aid access/egress. 

When installing open corners of stand floors and platforms should be splayed, rounded and angled, if not protected by heavy exhibits, to avoid sharp corners and tripping hazards.


All electric supply must be ordered through Turnkey Expos.

 

A temporary supply must be ordered for use during build-up and breakdown, if required. Use of the venue’s electrical sockets is not permitted and cables must not cross gangways. Once power has been energised during build-up, it will be switched off each night, including the pre-open night. Power to your stand will be switched off 30 minutes after the show closes each day and will not be switched back on until the following morning. If you need power overnight, you will need to order a 24 hour supply.

 

On the last open day, power will not be switched back on under any circumstances, due to the hazards presented during the breakdown of stands.  If you need a supply beyond this time, please arrange this with the electrical contractor.

Intercontinental provides first aid assistance, We advise you to contact the nearest security personnel or our registration desk for help. 

Incase of difficulty you may also contact the operator on 0 or their direct number on +356 2376 5303 for any emergencies and first aid. 

Gaming activities include (but are not limited to) raffles, lotteries, prize draws and some charity collections, where profit-making occurs. Licences are required for such activities, so it is vital that you contact your SBC contact at least 6 weeks before the event to inform them of any intention to hold gaming activities on your stand.  

The contents of this section act as a guide only and are not intended to be a complete statement of law or other regulations. Where necessary, further advice can be obtained from the Organisers.


SBC Events are committed to providing, maintaining and promoting the highest standards of Health, Safety & Welfare at all of our events. All exhibitors and contractors at the event are expected to ensure that they provide a safe place and system of work, as is their legal duty under HASAW 1974. Successful safety management requires the commitment, involvement and cooperation of all those on-site at an event.

The Construction Design Management Regulation

There are many risks associated with the construction and deconstruction of events, there are now enforced controls to ensure that all employees, contractors and visitors are provided with a healthy and safe working environment while onsite. 


Everyone on site is responsible for preventing personal injury and damage to property, and to protect everyone from foreseeable work hazards at all locations.


Co-operation and participation of all employees, exhibitors, contractors and subcontractors is essential to obtain high standards of safety practices.


ALL Exhibitors and Contractors must be wearing appropriate clothing. High visibility jackets must be worn by ALL contractors and Exhibitors as well as appropriate footwear. Please note that those who do not conform with these rules may be refused entry into the venue.

The Health & Safety at Work Act 1974

This is the legislative foundation for all workplace Health & Safety Regulations. There are a number of areas of the Act which are of particular importance to the management of contract work:


  • Provision and maintenance of safe plant and safe systems of work

  • Safe handling, storage, maintenance and transport of work articles and substances

  • Provision of information, instruction, training and supervision

  • Provision of a safe place of work with safe access and egress

  • A safe working environment with adequate welfare facilities


These must be maintained for exhibitors, contractors and employees of ANY company working within any premises hired by SBC Events.


The Act places a general duty on employers to ensure the health and safety of people who may be affected by work activities but who are not employees; this includes contractors, temporary workers and visitors on site. General duties of persons concerned with premises to persons other than their employees.

The Management of Health & Safety at Work Regulations 1999

These require additional action to be taken in order to ensure compliance. Namely:

  • Requires suitable and sufficient risk assessments to be completed, all significant risks must be identified with suitable and sufficient control measures put in place.

  • Appointment of competent persons in health and safety

  • Establish and implement emergency procedures

  • Co-operation and coordination in shared workplaces

  • Provision and sharing of information

Working at Height

A person is working ‘at height’ if there is a possibility of their being injured from falling, even if they are working at or below ground level.

 

The Working at Height Regulations refers to 'duty holders': employers, self-employed and employees. This includes all contractors and exhibitors (for example, when accessing areas above floor level to dress stands). 


Duty holders’ responsibilities are to ensure that:

  • No work is done at height if it is safe and reasonably practicable to do it other than at height

  • Ensure that the work is properly planned and organised, appropriately supervised and carried out in as safe a way as is reasonably practicable

  • Plans are in place for emergencies and rescue

  • A suitable and sufficient risk assessment is carried out and the significant findings recorded and acted upon

  • They do all that is reasonably practicable to prevent anyone falling

  • All work at height takes account of conditions that could endanger health and safety

  • Those involved in work at height are trained and competent

  • The place where work at height is done is safe

  • Equipment for work at height is appropriately inspected

  • The risks from fragile surfaces are properly controlled

  • The risks from falling objects are properly controlled

Your Health & Safety Obligations

As an exhibitor, you have a legal duty of care for the safety of anyone who may be affected by your activities. You are ultimately responsible for all aspects of safety on your stand during the buildup, open period of the show and during the breakdown. Where you contract out the building and finishing of your stand you are still vicariously responsible for the activities of your contractors.

It is essential that you take out adequate employee and public liability insurance against personal injury, damage to or loss of exhibits, etc.  For SBC Summit Malta you require cover no less than €2,000,000 employee and public liability. The event organisers must see a copy of your insurance document before you will be permitted to build your booth.

SBC can offer you the ability to participate in its own Exhibitor Indemnity scheme. The details of what is included in this scheme are set out on the linked Summary Sheet. It is available to purchase from SBC at a one time cost of €180

There is a dedicated wifi service throughout the event for all visitors and exhibitors to use. This will be at 10Mbps. This internet port will be open therefore the security option will be able to allow the viewing of gambling sites.


If you are showcasing products that rely on internet connectivity we strongly recommend ordering a hard wire connection for your stand. Hardwired internet can be ordered via the Intercontinental, please see the order form this should be ordered thorugh sandra.Castillo@ihg.com

Any property found should be handed to the registration desk who will pass it onto the Event Organisers, at the registration desk.

If you are intending to offer massage, or any other hands-on treatment on your stand, this may require a licence.  Please contact the organiser for further details if you wish to proceed, on events@sbcgaming.com

Specific merchandise can be ordered via the suppliers mentioned in the supplier details table at the beginning of the manual.

Exhibitors and contractors are obliged by law to reduce the risk of hearing damage to employees to the lowest level reasonably practicable.  Hearing protection is required for staff working at noise levels in excess of 80 dB (A).

 

To ensure that the show is not disturbed please keep music and noise at a level where your fellow neighbours are able to hold conversations and take phone calls.

If you wish to play pre-recorded music on your stand, you will need to apply for a Phonographic Performance (PPL) licence and Performing Rights Society (PRS) licence.  If live music is being performed, you will only require a PRS licence.

To ensure that the show is not disturbed please keep music and noise at a level where your fellow neighbours are able to hold conversations and take phone calls.


Rigging is extremely limited at the Intercontinental, with only 15 hanging points in the arena. It is therefore not guaranteed it will be permitted. Please speak with lucy.brackpool@sbcgaming.com & miguel@242.group who will be able to assist you.

It is a legal requirement that each exhibitor and contractor undertakes their own risk assessment and fire risk assessment prior to the event, listing the tasks to be undertaken, identifying any significant hazards they present on site, then listing ways to minimise and control those hazards. 

 

Simple advice and forms are provided to help you with your risk assessment. Please see the Mandatory Forms section for details.

Security is provided for the show throughout build up, open periods and breakdown. Please assist us by wearing your exhibitor pass at all times. Entry to the hall will not be permitted without a pass.


Please take account of the following security advice from the venue & crowd control. 


  • Make contact with the exhibition security company for advice on how to secure the items on your stand. There may be overnight secure storage for valuable items but this is not guaranteed

  • Take home any valuable items each night if there are no secure storage facilities on site

  • Do not leave your stand unattended at any time during the build-up, the open period or the pull-out of the show  

  • Do not leave the hall until all visitors have gone each evening

  • Do not position desirable items at the front of your stand, where you may not be able to keep an eye on them

  • Ensure you have enough staff so that the stand is not vulnerable to thieves and do not ask a neighbouring exhibitor to watch over your stand while you go for a break. They may become busy and not be able to keep an eye on your stand

  • Remove all portable or valuable items from the stand on the evening the show closes.  Do not leave them until the following day for collection

  • Arrive in time for the show.  Ensure your stand is staffed at least 15 minutes before show open time each day, but remember that the hall is open from 0800 hours

  • Use a lockable cabinet to store your personal possessions during the show open hours.  You should be able to hire one from the appointed furniture company

  • Use a night sheet.  If you have a shell scheme stand, you should be able to hire one from the stand fitting company

  • Hire an alarm for your stand if you are exhibiting valuable or portable items.  These should be available from the show security company

  • If you are a victim of theft please report it immediately to the closest security person on-site or if in difficulty call Lucy Brackpool on +44 7939983541 immediately.

  • Inform security of any suspicious movement or act by anyone near you 

  • Any accident must be reported as soon as possible

Smoking is not permitted in the venue at any time, in accordance with legislation. External smoking areas are provided. If you are a smoker, please consider others and use only the designated areas; this includes the smoking of electronic cigarettes.

If you are planning to use any special effects on your stand, you must inform the organiser as soon as possible. Special effects include lasers, strobe lights, pyrotechnics and smoke machines. The information which will be required includes a risk assessment and full details of the operator and manufacturer. Certification from an independent specialist may also be required. Any cost involved will be the responsibility of the exhibitor.

Please feel free to hire promotional staff for your stand at SBC Summit Malta 2026. Promotional staff are not permitted to walk around the exhibition and networking areas without prior approval from the event organisers. Please note that they are not allowed to hand out any promotional material in the conference rooms. Promotional drops are also not permitted in conference rooms or networking areas, and these will be removed onsite.

Trolleys are not provided at the venue, so please bring your own if you need one to deliver goods to your stand. They are only permitted on the exhibition floor outside show open hours for the safety of visitors.

If visitors are participating in any activity on your stand, your risk assessment must detail the measures in place to ensure their safety. Please advise the organiser if you intend to offer such activities, in order to ensure that all relevant regulations are complied with.
