The certificate must be issued by CREA (Conselho Regional de Engenharia e Arquitetura) and should be submitted via the Virtual Shop.

The use of high working pressure bottles in RIOCENTRO is prohibited, whether in Pavilions or
in tents and sheds. Example: (Helium, Butane, etc.)
It is forbidden to use materials or substances of easy combustion, as well as the entrance to the Pavilions of fireworks, explosives of any nature, confetti, helium gas balloons, streamers, shredded paper rain and similar products, acetylenic welds or similar.
"Glitter" or “Confetti” is not permitted at the facility.

Loading and unloading of materials for the event will be through Gate G which can be accessed through Olof Palme Avenue.
Vehicles will need to be unloaded and then removed off-site or to the carpark, note; parking is chargeable.
To ensure a smooth build and breakdown experience, we will use Voyage Control to manage all vehicle movements into and out of the loading bay. The exhibition hall will be split into tiers and timeslots prior to the event and you will be able to book your loading slot. Please ensure you stick to your allocated time slot, those leaving vehicles for long periods of time will be subject to fines. Voyage Control will go live approximately 4 weeks before build-up commences. Vehicles will not get access unless they have booked a slot on Voyage Control.
Access to RioCentro for vehicles will be via G-gate, where you will be sent to the G carpark marshalling area. Your vehicle will need to wait there until your loading slot is available and you will be called round to the loading bay.
Note: You will need to collect your contractor wristbands before you enter the hall.

Couriers
Deliveries for SBC Summit Rio should be received no earlier than Friday 27 February. You or your contractor must be there to sign for your delivery.
Any deliveries to your stand on show open days must be completed and your vehicle removed from the loading areas no later than half an hour before the show opening time. The venue will not allow the show to open if vehicles are blocking fire exit routes and trolleys are not permitted on the exhibition floor during open hours in consideration of public safety.
If you are expecting goods to be delivered by courier, please ensure that they are aware of the dates of the show and hall opening times. Deliveries made before the show is in tenancy will not be accepted by the venue.

Please ensure that you consider accessibility to your products and services for disabled people when designing your stand. This may include (but not exclusively) providing wheelchair access ramps, induction hearing loops, low level desks, transaction aids and appropriate signage.
You have a duty to ensure that all persons have access to your stand. All stands must be accessible to visitors using wheelchairs.
Any stand incorporating a platform or raised floor that exceeds 120mm in height, must incorporate an access ramp with the inclusion of handrails fitted either side, Platforms/ Raised floors up to 120mm are not required to install a ramp provided there is someone available on the stand space to assist a wheelchair dependant visitor. For any mobility scooter dependent visitors, we have at our disposal temporary ramps which can be sited temporarily in the aisle area to aid access/egress.
When installing open corners of stand floors and platforms should be splayed, rounded and angled, if not protected by heavy exhibits, to avoid sharp corners and tripping hazards.

Meeting rooms, foyers and circulation areas are equipped with smoke detectors, sprinkler systems and fire extinguishers. In no case these facilities may be blocked by placing any kind of materials.
We recommend that exhibitors and their contractors should acquaint the location of firefighting equipment and escape routes from the building. The extinguishers that by any means need to be removed for the assembly should be repositioned as close as possible to their place of origin.
All electrical wiring, plumbing, data, sound and projection (or similar) shall be made under the suspended floor of the complex.
The event will have a medical centre on-site, if an injury has occurred and you can make you own way to the medical center please do. If the patient cannot walk, please get in contact with the organisers or floor management for assistance.

SBC Events are committed to providing, maintaining and promoting the highest standards of Health, Safety & Welfare at all of our events. All exhibitors and contractors at the event are expected to ensure that they provide a safe place and system of work, as is their legal duty under HASAW 1974. Successful safety management requires the commitment, involvement and cooperation of all those on-site at an event.
The Construction Design Management Regulation
There are many risks associated with the construction and deconstruction of events, there are now enforced controls to ensure that all employees, contractors and visitors are provided with a healthy and safe working environment while onsite.
Everyone on site is responsible for preventing personal injury and damage to property, and to protect everyone from foreseeable work hazards at all locations.
Co-operation and participation of all employees, exhibitors, contractors and subcontractors is essential to obtain high standards of safety practices.
ALL Exhibitors and Contractors must be wearing appropriate clothing. High visibility jackets must be worn by ALL contractors and Exhibitors as well as appropriate footwear. Please note that those who do not conform with these rules may be refused entry into the venue.
The Health & Safety at Work Act 1974
This is the legislative foundation for all workplace Health & Safety Regulations. There are a number of areas of the Act which are of particular importance to the management of contract work:
Provision and maintenance of safe plant and safe systems of work
Safe handling, storage, maintenance and transport of work articles and substances
Provision of information, instruction, training and supervision
Provision of a safe place of work with safe access and egress
A safe working environment with adequate welfare facilities
These must be maintained for exhibitors, contractors and employees of ANY company working within any premises hired by SBC Events.
The Act places a general duty on employers to ensure the health and safety of people who may be affected by work activities but who are not employees; this includes contractors, temporary workers and visitors on site. General duties of persons concerned with premises to persons other than their employees.
The Management of Health & Safety at Work Regulations 1999
These require additional action to be taken in order to ensure compliance. Namely:
Requires suitable and sufficient risk assessments to be completed, all significant risks must be identified with suitable and sufficient control measures put in place.
Appointment of competent persons in health and safety
Establish and implement emergency procedures
Co-operation and coordination in shared workplaces

Working at Height
A person is working ‘at height’ if there is a possibility of their being injured from falling, even if they are working at or below ground level.
The Working at Height Regulations refers to 'duty holders': employers, self-employed and employees. This includes all contractors and exhibitors (for example, when accessing areas above floor level to dress stands).
Duty holders’ responsibilities are to ensure that:
No work is done at height if it is safe and reasonably practicable to do it other than at height
Ensure that the work is properly planned and organised, appropriately supervised and carried out in as safe a way as is reasonably practicable
Plans are in place for emergencies and rescue
A suitable and sufficient risk assessment is carried out and the significant findings recorded and acted upon
They do all that is reasonably practicable to prevent anyone falling
All work at height takes account of conditions that could endanger health and safety
Those involved in work at height are trained and competent
The place where work at height is done is safe
Equipment for work at height is appropriately inspected
The risks from fragile surfaces are properly controlled
The risks from falling objects are properly controlled

Your Health & Safety Obligations
As an exhibitor, you have a legal duty of care for the safety of anyone who may be affected by your activities. You are ultimately responsible for all aspects of safety on your stand during the buildup, open period of the show and during the breakdown. Where you contract out the building and finishing of your stand you are still vicariously responsible for the activities of your contractors.
It is your responsibility to ensure you have completed the relevant Health & Safety forms and documents, as described below:
All exhibitors must complete a Risk Assessment, Health and Safety Declaration and Mission Statements for their stand, relating to the entire exhibition.

Forklifts, pump trucks, elevating platforms and other machinery all must be hired from the exclusive supplier, Merkur. They can be contacted on sbcrio26@merkur.pt
Gaming activities include (but are not limited to) raffles, lotteries, prize draws and some charity collections, where profit-making occurs. Licences are required for such activities, so it is vital that you contact your SBC contact at least 6 weeks before the event to inform them of any intention to hold gaming activities on your booth.
It is essential that you take out adequate employee and public liability insurance against personal injury, damage to or loss of exhibits, etc. For SBC Summit Rio you require no less than €2,000,000 and general liability. The event organisers must see a copy of your insurance document before you will be permitted to build your stand.
If you are showcasing products that rely on internet connectivity we strongly recommend ordering a hard wire connection for your stand. Dedicated WiFi & hardwired internet connections can be ordered through: sebastiao.viana@globalhitss.

Exhibitors and contractors are obliged by law to reduce the risk of hearing damage to employees to the lowest level reasonably practicable. Hearing protection is required for staff working at noise levels in excess of 80 dB (A).
To ensure that the show is not disturbed please keep music and noise at a level where your fellow neighbours are able to hold conversations and take phone calls.
Riocentro has Parking lot subject to availability and cannot be reserved and is chargeable
Suppliers, builders, delivery men and others, who park their vehicles in the parking lot, will pay for the service.
Trucks and buses (and other big vehicles) are not permitted in the parking area of the convention center.
The receiving docks are designed for loading and unloading of materials and equipment. It is prohibited to park any vehicles in this area.
If you wish to have live music or pre-recorded music on your stand, you will need to apply for an ECaD license.

Please note that they are not allowed to hand out any promotional material in the conference rooms. Promotional drops are also not permitted in conference rooms or networking areas, and these will be removed onsite.
Please note, promotional staff must be dressed modestly for the event.
Rigging is limited in Rio Centro, due to the weight loadings of each aerial point. Please take this into consideration when creating your stand designs.
In Pavilion 4; the weight per aerial point is 45kg.

The maximum stand height is 6m tall, you are permitted to have rigging in addition, however, the height of the stand + rigging should not exceed 8m tall. This is measured from the venue floor to the top of the banner / truss.
Hanging banners above your stand are only permitted for stands bigger than 5 x 5m or 25sqm or over. No hanging banners are permitted for stands smaller than this.
All rigging must be positioned with a minimum 1 metre gap from the neighbouring stand
All banners must not exceed the dimensions of your stand
All ground based constructions must be completely free standing. It is not permitted to have any ground based walling supported via the venues rigging points.
Rigging Contracting
Please check the instructions for rigging structures and send all the requested documents through the virtual shop – rigging section, or to cabos.riocentro@glbr.com.br, whenever the project is approved, we will charge the price into the shop.
Please note that the last day for rigging contracting is February 6th, if the project is sent afterwards or is incorrect, we cannot guarantee the installation.

It is a legal requirement that each exhibitor and contractor undertakes their own risk assessment and fire risk assessment prior to the event, listing the tasks to be undertaken, identifying any significant hazards they present on site, then listing ways to minimise and control those hazards.

Security is provided for the show throughout build up, open periods and breakdown. Please assist us by wearing your exhibitor pass at all times. Entry to the hall will not be permitted without a pass.
Please take account of the following security advice from the venue & crowd control.
Make contact with the exhibition security company for advice on how to secure the items on your stand. There may be overnight secure storage for valuable items but this is not guaranteed
Take home any valuable items each night if there are no secure storage facilities on site
Do not leave your stand unattended at any time during the build-up, the open period or the pull-out of the show
Do not leave the hall until all visitors have gone each evening
Do not position desirable items at the front of your stand, where you may not be able to keep an eye on them
Ensure you have enough staff so that the stand is not vulnerable to thieves and do not ask a neighbouring exhibitor to watch over your stand while you go for a break. They may become busy and not be able to keep an eye on your stand
Remove all portable or valuable items from the stand on the evening the show closes. Do not leave them until the following day for collection
Arrive in time for the show. Ensure your stand is staffed at least 15 minutes before show open time each day, but remember that the hall is open from 0800 hours
Use a lockable cabinet to store your personal possessions during the show open hours. You should be able to hire one from the appointed furniture company
Use a night sheet. If you have a shell scheme stand, you should be able to hire one from the stand fitting company
Hire an alarm for your stand if you are exhibiting valuable or portable items. These should be available from the show security company
If you are a victim of theft please report it immediately to the closest security person on-site or visit the organisers office.
Inform security of any suspicious movement or act by anyone near you
Any accident must be reported as soon as possible
The SEFAZ temporary permit (Autorização Provisória de Funcionamento) is a specific authorization required for operating a stand during events or fairs. This permit ensures that vendors comply with local tax regulations and other legal requirements while they are active at the event.
Here are some key points about the SEFAZ temporary permit for stands:
Application: Vendors must apply for this permit through SEFAZ, providing details about their stand, the nature of their business, and the event. The application often includes information about the event's location, duration, and the products or services offered.
Tax Compliance: The permit ensures that the vendor will adhere to tax obligations, such as collecting and paying the ISS (Imposto Sobre Serviços) or other applicable taxes. - If they have a sale of goods or services at the stand.
Validity: The temporary permit is typically valid for the duration of the event. It allows vendors to legally operate their stands within the specific timeframe and location.
Conditions: The permit may come with specific conditions related to health and safety, waste management, and other regulatory requirements that must be followed during the event.
Documentation: Vendors may need to provide additional documentation, such as proof of business registration and compliance with local regulations.
Obtaining this permit is crucial for ensuring that all operational and tax obligations are met while participating in fairs and similar events.

If you are planning to use any special effects on your stand, you must inform the organiser as soon as possible. Special effects include lasers, strobe lights, pyrotechnics and smoke machines. The information which will be required includes a risk assessment and full details of the operator and manufacturer. Certification from an independent specialist may also be required. Any cost involved will be the responsibility of the exhibitor.
All stands at SBC Summit Rio are ‘‘Space only” stands. The term "Space Only Stand" refers to renting a space on the exhibition floor. There will be no walls, floor coverings, or stand fittings provided, and you will be responsible for arranging them at your own expense. Stand design is your responsibility, and must be capable of being built and dismantled within the deadlines; please refer to the exhibition timetable for the build-up and breakdown schedule.
When you arrive on-site, the area of the booth will be marked out on the venue floor. It is your responsibility to ensure that the booth is built to the correct floor markings. If you are unsure of these please contact the organiser’s office before commencing build.
You have a legal obligation to build your stand to the required standards of the venue and local authority. To ensure that you are building your booth to the correct regulations, professional scale drawings showing all proposed construction must be submitted and approved.
The design of your booth must be such that it can be erected and dismantled within the time available. A method statement for the construction process must accompany these plans along with a risk assessment and health and safety declaration. The Organiser reserves the right not to allow the build of your booth to begin if plans have not been submitted and approved prior to the show.
SBC has appointed PUDIM as the health and safety partner for the event. PUDIM will review all space-only stand plans and supporting health and safety documentation. All exhibitors with space-only stands, whether using a contractor or building their own stand, must pay a Stand Plan Inspection fee of £140. Please submit a complete set of your plans (which include all measurements), method statement and risk assessment through the Virtual Shop for approval. Once the booth plans have approved a letter of approval will be provided.
Detailed below are the requirements regarding the submission of plans:

Approval for a booth from a previous show will not be accepted as proof of approval and plans must be re-submitted for every show

All plans, calculations and documentation must be in English and should clearly state the exhibiting company's name, booth number and the contact name and company of the contractor responsible for the booth
A booth plan approval form, method statement, risk assessment and health and safety declaration must be submitted with the plans. You may choose not to use the forms provided in this manual and use your own templates instead.

The exhibitor, under penalty of responsibility, must strictly fulfil the following standards for the assembly and disassembly of the stands, on the terms and conditions specified, without prejudice to absolute compliance with the technical standards of safety established by ABRACE - Brazilian Association of Scenography and Stands
- Any open side of a stand space must remain at least 50% unobstructed by solid walls or structures. This requirement ensures clear sightlines across the show floor and supports fair visibility for all exhibitors. Dividing walls must be built between your stand and adjoining stands, extending to the boundaries of your stand. Any exceptions must be agreed in advance with the Organiser.
You must supply walling to your own stand and not use the back walls provided by other stands.
All stand construction must be completely self-supporting and no fittings or painting may be made to any part of the venue structure.
All cladding of columns must be self-supporting and access must be made available to any services on these columns.
No part of the stand construction, including rotating signs, or any exhibits may protrude into the gangways or over neighbouring stands.
No item of display may project over the perimeter of the stand into the gangways.
All stand construction and displays must be made from fireproof materials and installed to the satisfaction of the authorities.
All lockable doors to store rooms, kitchens, meeting rooms, etc must have a vision panel in case of an emergency.
Platforms must be of a strength and stability sufficient to carry and distribute the weight of stand fittings and exhibits with regard to the loading limits of the venue floor.
The project should indicate the exact location of the points of energy and load with the quantity on KVa’s to be used.
Any stand incorporating a platform or raised floor, must ensure the stand is easily accessible to any wheelchair dependent visitor. You must either install a ramp with the inclusion of handrails fitted either side or make sure there is someone available on the stand space to assist.
Open corners of stand floors and platforms should be splayed, rounded and angled, if not protected by heavy exhibits, to avoid sharp corners and tripping hazards
Professional scale drawings showing all proposed constructional details must be submitted and approved prior to the build-up of the show.
A method statement, risk assessment, a copy of your insurance certificate and health and safety declaration must be submitted with your stand drawings.
Any presentations / demonstrations likely to interest large groups of visitors must be located towards the centre of the stand and clearly shown on stand drawings.
The design of your stand must be such that it can be erected and dismantled within the time available.
If you intend to do construction work on-site please be considerate to others. Please do not off-load, work or paint in other peoples’ stand areas as this can be a source of irritation to fellow exhibitors arriving to set up their stand.

The use of liquefied petroleum gases inside the building is strictly prohibited.
You are responsible for the actions of any contractor you employ to work for you and will be held responsible for misconduct by them. Any damage caused by your contractors will be charged directly back to you.
It is your duty to ensure ALL stand items and waste is removed from your stand at the end of breakdown. Any excessive waste will be charged directly back to you.
Please ensure any part of your stand which backs onto a neighbouring stand and is on show, has been finished to a good standard and not left unfinished
Storage is not permitted behind stands or in void areas of the hall for fire safety reasons. The venue has limited storage options, should you need to hire storage please speak to Merkur on sbcrio26@merkur.pt
Exhibitors should take responsibility for any items left in the stands. SBC does not take responsibility for any misplaced or missing items left overnight.

Trolleys are not provided at the venue, so please bring your own if you need one to deliver goods to your stand. They are only permitted on the exhibition floor outside show open hours for the safety of visitors.

Service Contracting - Deadline's and Surcharge Information
The Early Bird price will apply to orders confirmed and paid by January 23rd, 2026.
Between January 24th and February 12th, prices will have a 25% surcharge. Certain products may be subject to availability.
Orders confirmed and paid after February 13th will have a 50% surcharge and will be subject to availability.
Rigging Contracting
Please check the instructions for rigging structures and send all the requested documents through the virtual shop – rigging section, or to cabos.riocentro@glbr.com.br, whenever the project is approved, we will charge the price into the shop.
Please note that the last day for rigging contracting is February 6th, if the project is sent afterwards or is incorrect, we cannot guarantee the installation.
All waste, except small quantities of litter, produced by your stand must be removed from the venue at the end of the event. If any waste is left behind a charge will be made for disposal of any large items, such as boxes of literature, carpet (except scraps) and stand fitting materials.

Pavilions of RIOCENTRO have water and discharge points distributed in channels along the floor. For the use of installations in each point, it will be charged a rate per water/discharge point, as defined in TPU. In case of branching of the installed point, the additional points will also be charged. This rate does not include installation of any appliance (sink, faucet, etc.) or its water and sewage piping. Water and discharge points, if required, should be ordered through the SBC store:

Walling It is the responsibility of the stand owner to complete walling and not the neighbouring companies responsibility.
All ground based constructions must be completely free standing. It is not permitted to have any ground based walling supported via the venue's rigging points.
Walls above 2.5m which overlook adjoining stands must be finished neatly to the satisfaction of the Organiser, in a plain and neutral white colour with no advertising or branding Wall panels that face open gangways must be decorated with display graphics and not be left plain.
All Space Only stands must provide their own solid back wall and / or side wall if they want walling. Use of existing venue wall or neighbouring stand wall will not be permitted
Stands that neighbour Shell Scheme stands are not permitted to attach any materials to the Shell Scheme
