Whether you are an exhibitor or stand contractor, this Exhibitor Manual provides all the essential information you need to plan and prepare for SBC Summit Rio 2026.


Please take the time to read it carefully, as it has been designed to answer common questions and make your planning process as smooth as possible. The exhibitor manual section is an open portal, which does not require a login. Please ensure it is shared with anyone involved in your stand build or potential contractors to enable accurate quotes. Once your official stand builder has been chosen, you can add them to the Virtual Shop to complete the necessary paperwork.

Stand Requirements

Unless you have pre-purchased a stand build package, all stands at SBC Summit Rio 2026 are "Space only" which means you have rented a space on the exhibition floor. There is no walling, floor covering or stand fittings provided, therefore, you are responsible for organising all of this at your own cost. The design of your booth is your responsibility and must be such that it can be erected and dismantled within the time available.

Submit your Booth Plans

You have a legal obligation to build your booth to the required standards of the venue and local authority. To ensure that you are building your booth to the correct regulations, professional scale drawings showing all proposed construction must be submitted and approved.

ART/RRT Form

According to Brazilian law, it is a mandatory requirement for all exhibitors to have your stand signed off by an architect/engineer and receive an ART / RRT certificate, issued by CREA (Conselho Regional de Engenharia e Arquitetura). The following information should be included

  • Structure Assembly

  • Low Voltage Electrical Distribution 

  • Load Test for stands with two floors and/or mezzanine

  • Proof of payment 

  • Copy of CAU/CREA license of the professional responsible for the ART/RRT

  • The plans should Include all dimensions

 Submit the Build Method Statement

Your method statement should explain in detail how you intend to build your stand from delivery to completion.

Risk Assessment

It is a legal requirement that each exhibitor and contractor undertakes their own risk assessment and fire risk assessment prior to the event, listing the tasks to be undertaken, identifying any significant hazards they present on site, then listing ways to minimise and control those hazards.

*Contractors are also required to have their own insurance.

Submit your Health & Safety Declaration

It is a condition of entry into the exhibition that every exhibitor, contractor, sub-contractor, supplier and their agents comply with the health & safety rules and all other legislation covering the venue. The exhibitor accepts that it is their legal and moral responsibility to ensure that both their own and others health and safety is not put at risk by their actions (or in-actions) throughout the tenancy.

SEFAZ Authorisation Form

You are required to have SEFAZ authorisation from the Rio de Janeiro State Finance Department which provides you a temporary event license. Please ensure that you state that there will be no sales on the stand, during SBC Summit Rio. This is a mandatory requirement for events in Rio de Janeiro, according to the city law.

Insurance

It is essential that you take out adequate employee and public liability insurance against personal injury, damage to or loss of exhibits, etc. For SBC Summit Rio you require no less than €2,000,000 and general liability. The event organisers must see a copy of your insurance document before you will be permitted to build your stand.

Stand Plan Inspection Fee

SBC has appointed PUDIM as the health and safety partner for the event. PUDIM will review all space-only stand plans and supporting health and safety documentation. All exhibitors with space-only stands, whether using a contractor or building their own stand, must pay a Stand Plan Inspection fee of £140. Payment and stand documentation can be submitted directly through the Virtual Shop.
