All alcohol sales and consumption in the Metro Toronto Convention Centre is regulated by the Alcohol and Gaming Commission of Ontario (AGCO) and the Metro Toronto Convention Centre is responsible for the administration of those regulations. No alcoholic beverages are allowed to be served by anyone other than a Metro Toronto Convention Centre Bartender.

No lighter-than-air balloons (i.e. helium) are permitted in the building without prior authorisation. At no time are helium tanks permitted in the building. All exhibitors have access to lead capture via our app, SBC Connect, this is an effective way to track footfall to your stand and rank potential.
Further details on how to log into your SBC Connect account will be provided four weeks prior to the event.
All booths at Canadian Gaming Summit are ‘‘Space only”. Space Only Booth means you have rented a space on the exhibition floor. There is no walling, floor covering or booth fittings provided, therefore, you are responsible for organising all of this at your own cost. The design of your booth is your responsibility and must be such that it can be erected and dismantled within the time available; please refer to the exhibition timetable for the build-up and breakdown schedule and in accordance with the booth build regulations.
All booths will require complete outside walling. It is the responsibility of the booth owner to complete and not the neighbouring companies responsibility.
When you arrive on-site the area of the booth will be marked out on the venue floor. It is your responsibility to ensure that the booth is built to the correct floor markings. If you are unsure of these please contact the organiser’s office before commencing build.

You have a legal obligation to build your booth to the required standards of the venue and local authority. To ensure that you are building your booth to the correct regulations, professional scale drawings showing all proposed construction must be submitted and approved.
The design of your booth must be such that it can be erected and dismantled within the time available. A method statement for the construction process must accompany these plans along with a risk assessment and health and safety declaration. The Organiser reserves the right not to allow the build of your booth to begin if plans have not been submitted and approved prior to the show.
Please send a complete set of your plans (which include all measurements), method statement and risk assessment to kayla.smith@sbcgaming.com for approval. Once the booth plans have been approved a letter of approval will be provided.
Detailed below are the requirements regarding the submission of plans:
Include all dimensions
Detail all building materials to be used
Show a ground plan and an elevation drawing
Details must prove the structural stability.
Approval for a booth from a previous show will not be accepted as proof of approval and plans must be re-submitted for every show
Approval must not be assumed until written approval is received from the Senior Events Manager, Kayla Smith.
When written approval has been received for the original design, no alteration may be made without the approval of the Senior Events Manager, Kayla Smith.
All plans, calculations and documentations must be in English and should clearly state the exhibiting company's name, booth number and the contact name and company of the contractor responsible for the booth
A booth plan approval form, method statement, risk assessment and health and safety declaration must be submitted with the plans. You may choose not to use the forms provided in this manual and use your own templates instead.
You will require approval from the Fire Officer at MTCC if your booth has any of the following:
Exhibit configuration is 1,000 sq. ft. or more
Exhibit has roof / mezzanine / second storey
Exhibit has a raised platform
Exhibit exceeds 12 feet in height
Exhibit material exceeds 10,000 lbs. gross weight

All electrical works must be carried out by the official event contractor; Showtech. Contractors please be sure to review Unapproved/Approved Electrical Equipment to ensure all equipment is compliant with the Ontario Electrical Safety Code.
Booth construction height limit is restricted to 14ft (not including rigging) . Construction heights are subject to event rules and regulations. Should your stand exceed 12ft you will need approval from the Fire Safety Officer at MTCC. The minimum build height is 8ft.
All booths will require complete outside walling of their booths. It is the responsibility of the booth owner to complete and not the neighbouring companies responsibility.
- Open Side Walling: Any open side of a stand space must remain at least 50% unobstructed by solid walls or structures. This requirement ensures clear sightlines across the show floor and supports fair visibility for all exhibitors. Where a larger wall does not adversely impact neighbouring stands or overall visibility, concessions may be granted at the Organiser’s discretion. Contact events@sbcgaming.com with any questions.
Dividing walls must be built between your booth and adjoining booths, extending to the boundaries of your booth. Any exceptions must be agreed in advance with the Organiser.
You must supply walling to your own booth and not use the back walls provided by other booths.
All booth construction must be completely self-supporting and no fittings or painting may be made to any part of the venue structure.
All cladding of columns must be self-supporting and access must be made available to any services on these columns.

No part of the booth construction, including rotating signs, or any exhibits may protrude into the gangways or over neighbouring booths.
No item of display may project over the perimeter of the booth into the gangways.
All booth construction and displays must be made from fireproof materials and installed to the satisfaction of the authorities.
All lockable doors to store rooms, kitchens, meeting rooms, etc must have a vision panel in case of an emergency.
Platforms must be of a strength and stability sufficient to carry and distribute the weight of booth fittings and exhibits with regard to the loading limits of the venue floor.
Any booth incorporating a platform or raised floor, must ensure the booth is easily accessible to any wheelchair dependent visitor. You must either install a ramp with the inclusion of handrails fitted either side or make sure there is someone available on the booth space to assist.
Open corners of booth floors and platforms should be splayed, rounded and angled, if not protected by heavy exhibits, to avoid sharp corners and tripping hazards
Professional scale drawings showing all proposed constructional details must be submitted and approved prior to the build-up of the show.
A method statement, risk assessment, a copy of your insurance certificate and health and safety declaration must be submitted with your booth drawings.
Any presentations / demonstrations likely to interest large groups of visitors must be located towards the centre of the booth and clearly shown on booth drawings.
The design of your booth must be such that it can be erected and dismantled within the time available.
If you intend to do construction work on-site please be considerate to others. Please do not off-load, work or paint in other peoples’ booth areas as this can be a source of irritation to fellow exhibitors arriving to set up their booth.
The use of welding equipment, open flames or smoke emitting materials as part of an exhibit must be specifically approved on an individual basis by the MTCC Fire Officer. Please contact kayla.smith@sbcgaming.com if you intend to carry out any hot works.
The use of liquefied petroleum gases inside the building is strictly prohibited. Welding, cutting, or brazing without special permission from the Metro Toronto Convention Centre, Fire Safety Officer Please contact kayla.smith@sbcgaming.com if you intend to carry out any pyrotechnics.
You are responsible for the actions of any contractor you employ to work for you and will be held responsible for misconduct by them. Any damage caused by your contractors will be charged directly back to you.
- It is your duty to ensure ALL booth items and waste is removed from your booth at the end of breakdown. Any excessive waste will be charged directly back to you.

Interior booth cleaning is available from the Metro Toronto Convention Centre (MTCC) on an exclusive basis from their highly efficient Cleaning Services Department. Interior booth cleaning services include: vacuuming, dusting, emptying wastebaskets and cleaning of tables. Additional exhibit booth cleaning options are available upon request. Discounted cleaning rates are available for orders placed up to 14 days prior to the first contracted day.
Please note the MTCC is the exclusive provider of all cleaning services. External companies (including display houses) are prohibited from performing any type of janitorial services within the building. Discount Deadline is May 4th, 2026.

The cloakroom will be open during show open hours and is located on level 100.
Deliveries for SBC Summit Canada should not arrive at the MTCC earlier than on 18th May, any deliveries sent prior to this will be turned away.**Note that Monday May 18th is a holiday in Canada, please be sure to work with the carrier closely to ensure your freight will arrive with no delays.
Advanced Warehouse
If you would like to send items to the advanced warehouse, they will be accepting shipments from now until May 8, 2026.
- To ensure timely arrival of your materials at show site‚ freight should arrive by the deadline date noted on the Quick Facts. Freight will be accepted after the deadline date‚ however additional charges will apply.
- The warehouse will receive shipments Monday through Friday, except holidays. Refer to the Quick Facts for warehouse hours.
- The warehouse will accept crates‚ cartons‚ skids‚ trunks/cases and carpets/pads. Loose or pad-wrapped material must be sent directly to show site.
- All shipments must have a bill of lading or delivery slip indicating the number of pieces‚ type of merchandise and weight.
- All shipments must be accompanied by certified weight tickets. Shipments received without these certified scale tickets will be rejected by The Expo Group.
- Shipments received without receipts or freight bills, such as Federal Express and UPS, will be delivered to the booth without guarantee of piece count or condition.
- Warehouse freight is typically delivered to the booth prior to exhibitor set up.
- All shipments to the advance warehouse or show site must be marked PREPAID on your bill of lading. Any Collect shipments will be refused, and Exhibitor/EAC/Shipper shall be liable for any shipping charges or expenses related thereto.

Please do not attach anything to the fabric of the building and take care when constructing your booth, as any damage caused by paint, stickers, nails, screws, etc, will be charged to you.
If you have hired an uncarpeted hall, please mention that a charge will be made for any carpet tape left at the end of the event.
Please ensure that you consider accessibility to your products and services for disabled people when designing your booth. This may include (but not exclusively) providing wheelchair access ramps, induction hearing loops, low level desks, transaction aids and appropriate signage.
The Disability Discrimination Act 1995 (DDA) gives disabled person’s rights to access to goods, facilities and services. You have a duty to ensure that all persons have access to your stand. All stands must be accessible to visitors using wheelchairs.
Any stand incorporating a platform or raised floor that exceeds 120mm in height, must incorporate an access ramp with the inclusion of handrails fitted either side, Platforms/ Raised floors up to 120mm are not required to install a ramp provided there is someone available on the stand space to assist a wheelchair dependant visitor. For any mobility scooter dependent visitors, we have at our disposal temporary ramps which can be sited temporarily in the aisle area to aid access/egress.

If you believe an ambulance needs to be called, please ensure that this request is directed to the venue’s security team. The staff’s knowledge of the venue and where to direct the ambulance could save vital time.

In order to help us ensure that we comply with the licensing authority and venue regulations, all gangways at the show must be kept clear at all times, including during build-up, the open period and breakdown.
Exhibits, furniture and other items belonging to your booth must not encroach beyond the boundary of your booth space. This is to ensure that escape routes are unobstructed in case of emergency evacuation.
If you have any displays or activities which are likely to attract an audience, please ensure that you plan your booth layout to allow people to gather within the booth area and not in the gangways.
Hanging banners above your booth are permitted at Canadian Gaming Summit for stands bigger than 20ft x 20ft only and subject to approval by SBC
All banners must not exceed the dimensions of your booth Rigging installation affixed to any Centre structure is an exclusive service provided by SHOWTECH Power & Lighting.All items to be suspended from ceilings including signs, displays, light and sound equipment etc., must be approved in advance.
Rigging of cable and other hanging devices on or near ceiling electrical buss ducts and conduits is strictly prohibited.

SBC Events are committed to providing, maintaining and promoting the highest standards of Health, Safety & Welfare at all of our events. All exhibitors and contractors at the event are expected to ensure that they provide a safe place and system of work. Successful safety management requires the commitment, involvement and cooperation of all those on-site at an event.
All exhibitors, service providers and Show Management personnel working on the show floor during move-in and move-out periods are required to wear approved personal protective equipment (PPE), such as CSA approved safety shoes, hard hats, harnesses, high visibility vests, gloves and safety eyewear and is to be used when warranted by safety considerations. All exhibitor service providers must adhere to the Occupational Health and Safety Act, Ontario regulation 213/91 and 851/90 Industrial. If you have been given permission to be on the floor at these times you will be required to wear an approved hard-hat in the designated ‘Construction’ zone. When working higher than 3 meters (10 ft) you must use fall protection.
As per the Ministry of Labour, children under 16 years of age are NOT permitted on the show floor during tear down or move-out. Please also note, that as per the Ministry of Labour, proper protective equipment is required to be worn while all tear down and move-out activity is taking place.
As an exhibitor, you have a legal duty of care for the safety of anyone who may be affected by your activities. You are ultimately responsible for all aspects of safety on your booth during the buildup, open period of the show and during the breakdown. Where you contract out the building and finishing of your booth you are still vicariously responsible for the activities of your contractors.
It is your responsibility to ensure you have completed the relevant Health & Safety forms and documents, as described below:
All exhibitors must complete a Risk Assessment, Method Statement & Health and Safety Declaration for their booth, relating to the entire exhibition
All exhibitors must submit a booth plan to SBC for approval prior to the event, and where necessary to the Fire Safety Officer from MTCC.
All exhibitors must order passes for the exhibition in advance. Please see the registration section of your company action plan
Working at Height
A person is working ‘at height’ if there is a possibility of their being injured from falling, even if they are working at or below ground level.
The Working at Height Regulations refers to 'duty holders': employers, self-employed and employees. This includes all contractors and exhibitors (for example, when accessing areas above floor level to dress stands).
Duty holders’ responsibilities are to ensure that:
No work is done at height if it is safe and reasonably practicable to do it other than at height
Ensure that the work is properly planned and organised, appropriately supervised and carried out in as safe a way as is reasonably practicable
Plans are in place for emergencies and rescue
A suitable and sufficient risk assessment is carried out and the significant findings recorded and acted upon
They do all that is reasonably practicable to prevent anyone falling
All work at height takes account of conditions that could endanger health and safety
Those involved in work at height are trained and competent
The place where work at height is done is safe
Equipment for work at height is appropriately inspected
The risks from fragile surfaces are properly controlled
The risks from falling objects are properly controlled
Your Health & Safety Obligations
As an exhibitor, you have a legal duty of care for the safety of anyone who may be affected by your activities. You are ultimately responsible for all aspects of safety on your stand during the buildup, open period of the show and during the breakdown. Where you contract out the building and finishing of your stand you are still vicariously responsible for the activities of your contractors.
It is essential that you take out adequate employee and public liability insurance against personal injury, damage to or loss of exhibits, etc. For the Canadian Gaming Summit you require cover no less than CA$2,000,000 employee and public liability. The event organisers must see a copy of your insurance document before you will be permitted to build your booth.
SBC can offer you the ability to participate in its own Exhibitor Indemnity scheme. The details of what is included in this scheme are set out on the linked Summary Sheet. It is available to purchase from SBC at a one time cost of CA$270

It is a legal requirement that each exhibitor and contractor undertakes their own risk assessment and fire risk assessment prior to the event, listing the tasks to be undertaken, identifying any significant hazards they present on site, then listing ways to minimise and control those hazards.

Security is provided for the show throughout build up, open periods and breakdown. Please assist us by wearing your exhibitor pass at all times. Entry to the hall will not be permitted without a pass.
Please take account of the following security advice from the venue:
- Make contact with the exhibition security company for advice on how to secure the items on your booth. There may be an overnight secure store for valuable items.
- Take home any valuable items each night if there are no secure storage facilities on site.
- Do not leave your booth unattended at any time during build-up, the open period or the pull-out of the show. Do not leave the hall until all visitors have gone each evening.
- Do not position desirable items at the front of your booth, where you may not be able to keep an eye on them.
- Ensure you have enough staff, so that the booth is not vulnerable to thieves and do not ask a neighbouring exhibitor to watch over your booth while you go for a break. They may become busy and not be able to keep an eye on your booth.
- Remove all portable or valuable items from the booth on the evening the show closes. Do not leave them until the following day for collection.
- Arrive in time for the show. Ensure your booth is staffed at least 15 minutes before show open time each day, but remember that the hall is open from 0800 hours.
- Use a lockable cabinet to store your personal possessions during the show open hours. You should be able to hire one from the appointed furniture company.
- Hire an alarm for your booth if you are exhibiting valuable or portable items. These should be available from the show security company.
- If you are a victim of theft please report it immediately to the show security company.
Use of pyrotechnics, hazers, fog / smoke machines, or any other special effect /activity requires Toronto Fire Department and the Metro Toronto Convention Centre approval at least 2 weeks in advance. The Fire Safety Manager will need a full production schedule including rehearsals and floorplans. Labour charges will apply for a fire watch. Storage is not permitted behind booths or in void areas of the hall for fire safety reasons. There will be no storage available on the Expo Hall floor. Everyone will need to make arrangements with The Expo Group for all empty containers.

Privately Owned Vehicles (POV**), are eligible to order a cart or dolly to assist with loading and unloading. Cart Service can be ordered to transport items between POV and Exhibitor booth, during move in & move out. Upon show close, the Exhibitor should check in with the Exhibitor hub to secure labor for this service, once a booth pack up is completed. Cart Service is by appointment only. Cart service must be pre ordered through the portal and a dock time booked.
If you have not booked a dock time you will be charged an additional administrative fee and will not be unloaded until all Exhibitors with pre-booked dock times/appointments have been unloaded. Staff with a flatbed dolly will assist the Exhibitor with cart service. The dolly will accommodate a maximum load of 3’ wide x 4’ long x 2 ‘high. For safety reasons, Expo Group staff will determine if the load can exceed 2 feet. Two people must accompany the delivery – one to drive and immediately remove vehicles from docks and one to accompany items to the booth. To be eligible for this service freight must not exceed 300 lbs. Cart service includes the storage of cardboard/product boxes at no additional charge. Empty stickers will be available at the Exhibitor services desk for this service.
Cart service is limited to one trip per delivery – inbound and outbound. Larger freight (size or weight) will be treated as material handling. The determination of cart service vs Material handling will be made onsite at the discretion of Expo Group management. Any disputes will be managed at the time of unload.
