We have secured preferential rates at a range of hotels around FIL and the local area.

Please note: There is high demand for rooms at this time so we advise booking early.

The consumption of alcohol is not permitted during buildup and breakdown.  The venue has a strict drugs and alcohol policy which allows them to offer to test or eject from site any contractor suspected of being under the influence of drugs or alcohol.


Alcohol Sale/Supply/Sampling

Any sale or supply of alcohol at the show must be agreed and licensed by the venue. Selling alcohol for consumption at the show is not permitted. However, if you wish to provide samples for tasting or to sell unopened bottles for consumption off site, you must reach out to your customer success contact for permission. The maximum sample size permitted is 50 ml for beer/cider, 25 ml for wine and 5 ml for spirits.

Assistance dogs are permitted entry to the show.  However, if you plan to have any other animal(s) on your stand, you must reach out to your customer success contact for permission, as there are licensing implications and the City Vet’s approval will be required. 

If fabric based, it must be treated with flame retardant. Please note, no flammable materials are permitted onsite.

The use of high working pressure bottles in FIL is prohibited, whether in Pavilions or in tents and sheds. Example: (Helium, Butane, etc.)


It is forbidden to use materials or substances of easy combustion, as well as the entrance to the Pavilions of fireworks, explosives of any nature, confetti, helium gas balloons, streamers, shredded paper rain and similar products, acetylenic welds or similar.


"Glitter" or “Confetti” is not permitted at the facility.

Please ensure that you and your stand contractors are aware of the allocated build-up and breakdown time slots. Check Build Schedule

SBC Summit “Space Only” stands do not come with carpeting. If you require floor covering, please ensure you have coordinated with your stand contractor to take the necessary precautions to prevent any damage to the venue’s existing floor. Any damage caused to the venue floor will be charged to the exhibitor.

We strongly encourage our exhibitors to use SBC’s official caterers and exhibitors should submit their orders as early as possible.

For non - recommended suppliers:
  • On stand dressing day (Monday 28th September) 8am-8pm, they will be able to bring in catering - on this day trollies will be allowed (not pump trucks)
    • Van slots will be bookable on Voyage control closer to the event (large truck / trailer slots only available at the moment / being booked first)
  • On LIVE days (Tuesday 29th September - Thursday 1st October) they will be able to deliver catering from 8am-9am, with trollies (not pump trucks)
    • Van slots will be bookable on Voyage control closer to the event (large truck / trailer slots only available at the moment / being booked first)
  • On LIVE days (Tuesday 29th September - Thursday 1st October) they will be able to deliver catering from 9am-5pm, hand carry only (no trollies or pump trucks)

During the event, the FIL is only responsible for cleaning the corridors between the stands, cleaning inside the stands is the responsibility of the exhibitors.  You can hire cleaning via the SBC store

The cloakroom will be available to use for event attendees and exhibitors during the open times of the event. One cloakroom is located in the meeting centre within FIL Square. The other cloakroom is located in Affiliate Leaders Summit entrance. Both cloakrooms will be open from 8.30 am during live event days and will close 30 minutes before the show closes each day.

All sponsors and exhibitors will have access to the event app SBC Connect which has a built in badge scanner to capture delegate leads. 

All registered attendees will receive an email approximately 4 weeks prior to the event with download and login details. 

Data captured can be downloaded by individual users or by the admin user for the full team's data.

Please ensure that you consider accessibility to your products and services for disabled people when designing your stand. This may include (but not exclusively) providing wheelchair access ramps, induction hearing loops, low level desks, transaction aids and appropriate signage.

The Disability Discrimination Act 1995 (DDA) gives disabled persons rights to access to goods, facilities and services. You have a duty to ensure that all persons have access to your stand. All stands must be accessible to visitors using wheelchairs.

If you build a ramp the gradient should be no greater than 1:12. Ramps are required to have a gradient that is not too steep for use by visitors and wheelchair users. Please consider the design and layout of your stand in the planning stages to consider access onto your stand i.e. by providing a ramp for wheelchair users if you build a platform.

When installing open corners of stand floors and platforms should be splayed, rounded and angled, if not protected by heavy exhibits, to avoid sharp corners and tripping hazards.

Your stand does not have electricity as a standard, so you will need to hire a main connection according to your needs.

All electric supply must be ordered through the venue appointed contractor, and can be ordered through the SBC Store

Please ensure that you are familiar with the procedures to be followed in the event of an emergency at the venue. 

  • Stay calm. Help others keep calm. Do not scream.

  • If you detect or are informed of an emergency situation, you must immediately notify a security

  • guard or any other FIL staff member, indicating the location and dimension of the accident or in alternative, activate the nearest alarm.

  • Heed the instructions of the Security/Safety Organization.

Identified in the below image are the locations of the three existing Meeting Points which are:

PE 1 – Public Area located south– Rua do Bojador

PE 2 – Public Area next to West entrance - Alameda dos Oceanos;

PE 3 – Public Area next to TIR Gatehouse– Avenida do Atlântico.

Meeting rooms, foyers and circulation areas are equipped with smoke detectors, sprinkler systems and fire extinguishers. In no case should these facilities be blocked.  We recommend that exhibitors and their contractors should acquaint the location of firefighting equipment and escape routes from the building.

The event will have a medical centre on site, should you need medical attention please contact the the nearest security personnel or service desk. The First Aid room is located at the Grand Hall next to Registration 2.

Forklifts, pump trucks, elevating platforms and other machinery all must be hired from the exclusive supplier ILS. 

Stand furniture can be ordered via the suppliers mentioned in the supplier details table at the beginning of the manual.

Gaming activities include (but are not limited to) raffles, lotteries, prize draws and some charity collections, where profit-making occurs.  Licences are required for such activities, so it is vital that you contact your SBC contact at least 6 weeks before the event to inform them of any intention to hold gaming activities on your booth.

Exhibiting at the SBC Summit does not include insurance coverage. All exhibitors and their stand contractors must have their own employee and public liability insurance of at least €2,000,000. This must cover personal injury, property damage, theft, loss, etc. It is the exhibiting company responsibility to ensure insurance is in place during the event.

Exhibitors are responsible for the security of their products and must hold a specific insurance policy for the event. Stand builder insurance does not cover exhibitor personnel, separate insurance must be arranged for exhibitor staff.

Proof of insurance must be submitted via the Event Portal prior to the event. Exhibitors can either opt in to the SBC Exhibitor Indemnity Scheme or submit their own insurance policy. To confirm your choice, please complete the Proof of Insurance Form available in the Event Portal.

Stand builder insurance does not extend to exhibitor staff or personnel during the live show days. Each exhibitor must secure their own insurance to cover their team for the full duration of the event.

Stand builders and contractors must have adequate insurance coverage in place during the build-up and breakdown periods. A copy of the stand builder's insurance policy must be submitted and approved by SBC before any booth construction can begin. Insurance documents must be uploaded via the Stand Plan Submission Platform.

Any property found should be handed to the service help desk. After the event, the organisers can be contacted at events@sbcgaming.com 

If you are intending to offer massage, or any other hands-on treatment on your stand, this may require a licence. Please contact your customer success contact for further details if you wish to proceed.

The closest parking is Vasco da Gama parking 1min away from the venue. The parking is subject to availability and cannot be reserved and is chargeable.Suppliers, builders, delivery men and others, who park their vehicles in the parking lot, will pay for the service. Trucks and buses (and other big vehicles) are not permitted in the parking area.

If you wish to play pre-recorded music on your stand, you will need to to contact SPA. SPA (Sociedade Portuguesa de Autores) is the agency which handles the music copyrights in Portugal.

Any advertising and promotional content must adhere to the “Código de Práticas Legais em Matéria de Publicidade” of the Câmara de Comércio Internacional (Code of Legal Practice in Advertising Matters).

Please feel free to hire promotional staff for your stand at SBC Summit. Promotional staff are permitted to walk around the exhibition and networking areas.  Please note that they are not permitted to hand out any promotional material in the conference rooms. Promotional drops are also not permitted in conference rooms or networking areas, and these will be removed onsite. There is a fee for model passes that will have to be paid before the event begins.

Please note, promotional staff must be dressed modestly for the event.

Security is provided for the show throughout build up, open periods and breakdown.

Private security used by exhibitors must be accredited to operate in Portugal and SBC must be informed. Please reach out to your customer success contact for permission

Please do not arrange for goods to be delivered to the hall before 8am each morning of show days. Please assist us by wearing your exhibitor pass at all times. Entry to the hall will not be permitted without a pass.

If you require additional security please book through the virtual shop. Please note, external security is prohibited at the venue and we have been notified that they will be removed by the Police if they are found onsite. 

Please take account of the following security advice from the venue:

  • External security companies are not permitted inside the venue
  • Make contact with the exhibition security company for advice on how to secure the items on your stand.
  • Take home any valuable items each night if there are no secure storage facilities on site.
  • Do not leave your stand unattended at any time during build-up, the open period or the pull-out of the show. Do not leave the hall until all visitors have gone each evening.
  • Do not position desirable items at the front of your stand, where you may not be able to keep an eye on them.
  • Ensure you have enough staff, so that the stand is not vulnerable to thieves and do not ask a neighbouring exhibitor to watch over your stand while you go for a break. They may become busy and not be able to keep an eye on your stand.
  • Remove all portable or valuable items from the stand on the evening the show closes. Do not leave them until the following day for collection.
  • Arrive in time for the show. Ensure your stand is staffed at least 15 minutes before show open time each day, but remember that the hall is open from 0800 hours.
  • Use a lockable cabinet to store your personal possessions during the show open hours. You should be able to hire one from the appointed furniture company.
  • Use a night sheet. If you have a shell scheme stand, you should be able to hire one from the stand fitting company.
  • Hire an alarm for your stand if you are exhibiting valuable or portable items.
  • If you are a victim of theft please report it immediately to the security staff.

Smoking and vaping is not permitted in the venue at any time, in accordance with legislation. External smoking areas are provided. If you are a smoker, please consider others and use only the designated areas; this includes the smoking of electronic cigarettes/vaping. 

If you are planning to use any special effects on your stand, you must inform your customer success contact as soon as possible. Special effects include lasers, strobe lights, pyrotechnics and smoke machines. The information which will be required includes a risk assessment and full details of the operator and manufacturer. Certification from an independent specialist may also be required. Any cost involved will be the responsibility of the exhibitor.

Check Stand Services

Storage is not permitted behind stands or in void areas of the hall for fire safety reasons. Stand packages include a lockable cabinet. The exhibitor takes responsibility for any items left in the stands. SBC does not take responsibility for any misplaced or missing items left overnight.

ILS will be managing the storage at SBC Summit. If you require storage please complete the lifting and handling order form in the ILS portal

Check Stand Services

The airport has available Aerobus, Metro, Local Buses, Airport Transfer Service and Taxis. The Aerobus leaves every 20 minutes between 7:30 - 23:00 to the city centre. The Metro line to São Sebastião will take you to the FIL in 10 min. The local bus 744 takes 15 min to Estação Oriente (located 250 m from FIL). The available taxi app options are: Uber, Freenow, Bolt.

Trolleys are not provided at the venue, so please bring your own if you need one to deliver goods to your stand. They are only permitted on the exhibition floor outside show open hours for the safety of visitors. 

If you are displaying a vehicle on your stand, specific regulations apply.  Please liaise with the events team (events@sbcgaming.com) regarding delivery and collection times, as this will need to be planned carefully around the construction and dismantling of stands.

Vehicles with combustion motors used as exhibition articles in closed spaces must have their tanks filled with only the minimum amount of fuel necessary to access the space of the stand and to be able to leave it until the event ends. Vehicles cannot be started during the event show days unless the specific regulations thereof expressly authorise it.

In terms of the technical viability of the project, the costs of carrying out the authorised installation shall be charged to the exhibitor. 

If visitors are participating in any activity on your stand, your risk assessment must detail the measures in place to ensure their safety. Please contact your customer success contact if you intend to offer such activities, in order to ensure that all relevant regulations are complied with.
