- Stands have different load-in time schedules. Please review the Group Map to confirm what load-in time your stand is.
- All load in and load out slots must be booked via voyage control launching 29th July. Traffic management fee of €85 applies per booking . Vehicles exceeding their allocated time will incur fines. Further information can be reviewed in the sections below.
- To receive access to Voyage Control please ensure your exhibiting companies have submitted your contractor details.
- You will not have a guaranteed time slot until you complete your booking in voyage control and receive email confirmation.
- Preferred load-in times may be unavailable due to slot limitations - Stand builders are responsible for ensuring the stand is completed within their scheduled time slot, even if preferred load-in time is unavailable.
- Make sure to check your stand location, as regulations vary.
Your stand plans will not be approved if the build-up or breakdown of your stand cannot be completed within the group timeframes.
Gangways must be kept clear at all times. If waste is blocking the gangways, the removal cost will be charged back to the exhibitor or stand builder.
When you arrive on-site the area of the booth will be marked out on the venue floor. It is your responsibility to ensure that the booth is built to the correct floor markings. If you are unsure of these please visit the organiser’s office before commencing build or contact events@sbcgaming.com
Load-in will take place in groups which are carefully determined based on your stand location, size, and design. Load times will be from 08:00 - 20:00 each day. The start day/time for each group in which you can load in is listed below. Groups can use later timings and lower groups. For example, Group 1 can book slots in Groups 2,3 and 4.

- Breakdown Schedule for Halls 1 & 2, between halls 1/2 and 2/3 will commence at 19:00 on Thursday, 1st October. These halls will be given priority access at the start of breakdown. All stands in these halls must be fully cleared by 15:00 Saturday, 3rd October.
- Breakdown Schedule for Halls 3, 4, between halls 3/4 & Sony Square (Affiliate Leaders Summit) will commence at 08:00 on Friday 2nd October. Thursday will be dismantling only, with no load-out permitted in these halls. All stands in these halls must be fully cleared by 15:00 Sunday 4th October.
The schedule below indicates the breakdown access times. Please consider this schedule as a guideline rather than a guarantee. You may not be permitted to enter at your booked time slot, access is based on availability of the halls and whether or not your stand has broken down.

All stand material and waste must be removed from the halls. Any charges for the removal of material left behind will be passed to the Exhibitor.
Do not leave materials or personal items unattended during Build-up or Breakdown. SBC will not accept any responsibility for items left unattended during or after this time. Any equipment/materials left behind will be removed at the exhibitors or contractors’ expense.
All contractors must follow these steps for vehicles to enter the venue for load out.
1. Prebook load out slot via voyage control.
2. Ensure all stand materials and waste are fully packed and ready for pick-up.
3. Make sure the designated lorry or truck is waiting in the Holding Area for permission. Entry to the Holding Area is permitted only for vehicles assigned to stands approved for load-out on the specified day in the Load Out Plan.
4. Once step 1 and 2 are completed, visit the loading bay office and provide the following information:
a. Stand Number
b. Exhibitor Company
c. Vehicle Registration
d. Load out voyage control booking time
5. The marshals in the Holding Area will locate your vehicle and direct it to the next available slot.
Each slot is allocated for a maximum of 1.5 hours. There will be high volumes of vehicles on breakdown. Follow this timeline and do not exceed the appointed slots.
Voyage Control will be in place for build-up and breakdown to manage traffic entering and exiting the venue. It will be available from end of July 2026 where you can select your preferred time slot as per your assigned group to enter the venue. These will be booked on a first come first serve basis. Slots are 1.5h long and vehicles exceeding this time will be subject to fines. A traffic management fee applies to each time slot reserved.

An email will be sent with a password and instructions to access Voyage Control to each stand builder. Each stand has a unique load in time. Be advise you are not guaranteed a slot until you complete your booking in Voyage Control.
All trucks and delivery vehicles must report to the holding area where you will present your Voyage Control pass (sent via email) to the marshals. Your vehicle will need to wait there until your loading slot is available and you will be called round to the loading bay.
- Check-In: You will not be permitted access to the venue until you collect your vehicle pass from the holding area.
- Drive to venue loading bay: Once your details are verified, proceed to the loading bay at the venue.
- Your must follow the approved truck routes to access the marshalling yard:

Note: You will need to collect your contractor wristbands before you enter the hall.
- If you are the official registered stand builder for your exhibitor/s at SBC Summit, you will receive a link to access voyage control on Wednesday 29th July from 3pm onwards
- The link will confirm your assigned group and password to access your group booking
- For both build and breakdown periods, a fee of 85 EUR per slot will be applied. This helps reduce over-usage and ensures compliance with our Fair Usage Policy.
- To make a booking, you must provide a valid debit or credit card. Your payment details will be securely added through Stripe, a trusted payment provider.

- Once received you’ll be able to access VC and book your load in and breakdown slots.
Rules Loading Bay
- During live days, access to the loading bay is restricted to cars and vans only. No lorries are permitted.
- Overnight parking in the exhibition area and loading bay is strictly prohibited beyond the established timetable.
- All circulation regulations, including road signs and speed limits, must be adhered to at all times inside the venue.
- Parking in areas that could obstruct emergency exits or access points for emergency services is prohibited.
Vans Access
Vans will not be permitted onsite before Sunday 27th due to limited space in the loading bay. From Sunday 27th September to Thursday 1st October 14:00, you may book a 1-hour slot via Voyage Control. SBC operate a fair use policy, any over bookings will be cancelled. Vehicle overstaying their allocated time may have all future booking privileges revoked. A traffic management fee applies to each time slot reserved.
Personal Protective Equipment (PPE)
All exhibitors and contractors working onsite during build-up and breakdown must wear the following PPE:
- Steel cap safety shoes
- High visibility vest
- Hard hat - if working at height
Please note you will not be permitted entry if rules are not adhered to. From 12pm on Monday 28th September, only closed shoes and high visibility vest will be required.
Hard hats and high vis can be purchased in the virtual shop.
Access
Contractor Wristbands are required for personnel entering the exhibition during the Build Up and/or Breakdown periods, such as delivery drivers or stand contractors. When you arrive at the venue, you must go to the ‘Loading Bay’ or ‘Side Entrance’ next to FIL Square and the onsite security team will provide you with contractor wristbands. It is also essential you register anyone who will be assembling the stand by completing the form below, failure to do so may delay your entrance into the building.
If any team members have not submitted the form, they can still be added onsite before entering the venue. SBC will collect the following details before a wristband is issued: Full Name, Contractor Company, Exhibitor Name and Stand Number. Starting Monday, 28th September, contractors can exchange their contractor wristbands for official event badges at the Help Desk (located between Pavilion 1 and 2) or at any registration desk.

Access Before Monday
Contractor Wristbands is required for any exhibitors or personnel entering the exhibition during the Build Up and/or Breakdown periods.
If you or any members of your team need to access the venue during Build Up, you must complete the form below in advance. This will ensure that you are registered and able to enter the building without delay.
When you arrive at the venue, you must go to the ‘Loading Bay’ or ‘Side Entrance’ next to FIL Square, where the onsite security team will provide you with a contractor wristband.
If you have not submitted the form in advance, you can still be registered onsite before entering the venue. SBC will collect the following details before a wristband is issued: Full Name, Contractor Company, Exhibitor Name and Stand Number.
Starting Monday, 28th September, you can exchange your contractor wristband for an official event badge at any Registration desk.
