Overview
Whether you are an exhibitor or stand contractor, this Exhibitor Manual provides all the essential information you need to plan and prepare for SBC Summit 2026.

Please take the time to read it carefully, as it has been designed to answer common questions and make your planning process as smooth as possible. The exhibitor manual section is an open portal, which does not require a login. Please ensure it is shared with anyone involved in your stand build or potential contractors to enable accurate quotes. Once your official stand builder has been chosen, you can add them to the Virtual Shop to complete the necessary paperwork.

Important event changes from 2025 

  • Voyage Control Charges: Charges to Voyage Control will be applied for both build and breakdown periods, with a charge per allocated slot. This measure has been introduced to reduce over-usage and ensure adherence to the fair usage policy. Voyage Control will be available from late July.
  • Waste Removal – Minimum Fees: Waste removals orders will be mandatory via the virtual shop this year. All stands over 25 sqm will be required to purchase waste removal via the virtual shop. Further information on this will be available in the coming months.
  • Open Side Walling Requirements: Any open side of a stand space must remain at least 50% unobstructed by solid walls or structures. This ensures clear sightlines across the show floor and fair visibility for all exhibitors. Where a larger wall does not negatively impact neighbouring stands or overall visibility, concessions may be granted at SBC's discretion.
  • Breakdown Schedule for Halls 1 & 2 will commence at 19:00 on Thursday, 1st October. These halls will be given priority access at the start of breakdown. All stands in these halls must be fully cleared by 15:00 Saturday, 3rd October.
  • Breakdown Schedule for Halls 3, 4 & Sony Square (Affiliate Leaders Summit) will commence at 08:00 on Friday 2nd October. Thursday will be dismantling only, with no load-out permitted in these halls. All stands in these halls must be fully cleared by 15:00 Sunday 4th October. Please note, you may not be permitted to enter at your booked time slot, access is based on availability of the halls and whether or not your stand has broken down.
  • Contractor Registration: All stand builders and contractors must register their details prior to arriving onsite. Unregistered staff will not be permitted entry. Further information on the registration process will be issued in July.

Stand Requirements
Unless you have pre-purchased a stand build package, all stands at SBC Summit 2026 are "Space only" which means you have rented a space on the exhibition floor. There is no walling, floor covering or stand fittings provided, therefore, you are responsible for organising all of this at your own cost. The design of your booth is your responsibility and must be such that it can be erected and dismantled within the time available.

Submit your Stand Plans

You have a legal obligation to build your stand to the required standards of the venue and local authority. To ensure that you are building your stand to the correct regulations, professional scale drawings showing all proposed construction must be submitted and approved.

 Submit the Build Method Statement

Your method statement should explain in detail how you intend to build your stand from delivery to completion.

Risk Assessment

It is a legal requirement that each exhibitor and contractor undertakes their own risk assessment and fire risk assessment prior to the event, listing the tasks to be undertaken, identifying any significant hazards they present on site, then listing ways to minimise and control those hazards.

*Contractors are also required to have their own insurance. 

Waste Management Plan

Ensure you include your waste management plan within your stand plan submissions. Please note, your stand plans will not be approved without a waste management plan in place. If you wish to book waste management via our preferred supplier, please do so via the Virtual Shop.

Stand Contractor Details & Virtual Shop Access

Inform SBC of your selected stand contractor, including their full contact details. Also specify the contact person who should be granted access to the virtual shop to arrange and purchase any additional services.

Submit your Health & Safety Declaration

It is a condition of entry into the exhibition that every exhibitor, contractor, sub-contractor, supplier and their agents comply with the health & safety rules and all other legislation covering the venue. The exhibitor accepts that it is their legal and moral responsibility to ensure that both their own and others health and safety is not put at risk by their actions (or in-actions) throughout the tenancy.

Insurance

It is essential that you take out adequate employee and public liability insurance against personal injury, damage to or loss of exhibits, etc. For SBC Summit you require no less than €2,000,000 and general liability. The event organisers must see a copy of your insurance document before you will be permitted to build your stand.

Stand Plan Inspection Fee

All exhibitors, whether using a contractor or building their own stand, must pay a Stand Plan Inspection fee. Payment can be made directly via Abraxys' secure online retail site.

There are three different types of inspection fees depending on the stand design and structure:

  • Non-Complex Stand
  • Complex Stand
  • Wind Resistance

Please check and confirm with your stand builder which category applies to your stand and which fee(s) must be paid.
