- YOU WILL NOT HAVE A GUARANTEED TIME SLOT UNTIL YOU COMPLETE YOUR BOOKING IN VOYAGE CONTROL AND RECEIVE EMAIL CONFIRMATION.
- PREFERRED LOAD-IN TIMES MAY BE UNAVAILABLE DUE TO SLOT LIMITATIONS - THE BUILDER IS RESPONSIBLE FOR ENSURING THE STAND IS COMPLETED WITHIN THEIR SCHEDULED TIME SLOT, EVEN IF PREFERRED LOAD-IN TIME IS UNAVAILABLE.

Voyage Control
.
Voyage Control will be in place for Build-Up to manage traffic entering and exiting the venue. This system will be available from 29th July where you can select your preferred time slot as per your assigned group to enter the venue and unload your vehicle. Please note this will be booked on a first come first serve basis.
An email will be sent to the contractor containing a password and instructions for accessing Voyage Control. Each stand has a unique load in time schedule. Be advise you are not guaranteed a slot until you complete your booking in Voyage Control.
- No lorries will be permitted in the loading bay during the event's open days - only catering deliveries will be permitted.
- Overnight parking in the exhibition area is strictly prohibited beyond the established timetable.
- All circulation regulations, including road signs and speed limits, must be adhered to at all times inside the venue.
- Parking in areas that could obstruct emergency exits or access points for emergency services is prohibited.
Choose time slot
Choose your preferred time slot. Once your time has been confirmed you will receive a confirmation email with a QR Code. This QR Code will be your Voyage Control Pass to access the venue.

- It is the stand builder’s responsibility to ensure the stand can be completed within the designated time.
- Late-night working is strictly prohibited. Stand build and dismantling must be carried during the times stated above.

- Stand dressing only, no construction of any kind will be permitted.
- No structural works, build or painting can be carried out after 20:00 Sunday 14th September
- Registration and badge collection will be open from 12:00 Monday 15th September.

Vehicle Access - Venue
Do not go directly to the venue as this will cause traffic congestion at the FIL entrance.
You will not be permitted access to the venue until you have collected your vehicle pass from the holding area.
During Build-Up all lorries, articulated trucks, and delivery vehicles must first proceed to the Holding Area (TBC). From there, marshals will direct them to the Loading Bay (at the venue) as soon as the booked slot starts.
- Check-In: All vehicles must check in at the Holding Area with their Voyage Control pass - The QR Code sent via a confirmation email when you book your time slot.
- Pass Verification: Present your pass to the marshals at the Holding Area.
- Drive to venue loading bay. Once your details are verified, proceed to the loading bay at the venue.

- The top of the pavilions will be open from 09:00 everyday.

Breakdown
For breakdown, all contractors must follow these steps for breakdown of their stands, to allow their vehicle permission to enter the venue. Voyage Control will not be in use.
- Ensure all stand materials and waste are fully packed and ready for pick-up.
- Make sure the lorry or truck designated for pick-up is waiting in the Holding Area (TBC) for permission.
- Once step 1 and 2 are completed, visit the Loading Bay Office (at the venue) and provide the following information:
- Stand Number
- Exhibitor Company
- Vehicle Registration
- The marshals in the Holding Area will locate your vehicle and direct it to the next available slot.
Please note that each slot is allocated for a maximum of 1.5 hours. There will be high volumes of vehicles on the breakdown. Please follow this timeline and not exceed the appointed slots.

This schedule below indicates the breakdown times across all halls. Please consider this schedule as a guideline rather than a guarantee. You may not be permitted to enter at the earliest time, this will be determined by how quickly your stand is broken down and the volume of stands broken down at the same time.

- All stand material and waste must be removed from the halls by 18:00 on Sunday 21st September.
- It is the responsibility of the exhibitor to ensure that their material is removed. Any charges for the removal of material left behind will be passed to the Exhibitor. Check the following link to order waste removal.
- Please ensure you do not leave materials or personal items unattended during Build-up or Breakdown. The organiser will not accept any responsibility for items left unattended during or after this time. Any equipment/materials left behind will be removed at the exhibitors or contractors’ expense.

Priority Access for Breakdown
Contractors constructing more than 10 stands are eligible to apply for priority access. However, all their stands must be ready to pack up when they arrive to the venue. To request priority access, a breakdown plan for all the stands must be submitted. This can be a single, unified plan rather than individual plans for each stand. Please email events@sbcgaming.com. requesting priority access and include the breakdown plan.
